Privacy Policy: WordCount AI
1. Our Commitment to Your Privacy
WordCount AI is designed to help you fix underperforming pages without turning your drafts into someone else’s dataset. This Privacy Policy explains what happens to your data when you run an SEO report, create an account, or upgrade to a paid plan.
By using WordCount AI, you agree to this Privacy Policy and our Terms of Service.
2. Anonymous Use (Guest Runs)
- Content processing: Text Analysis runs in your browser: text you paste is not sent to our servers or to an AI provider. If you upload a file to Text Analysis, it is sent to our server only to extract its text, which is not stored. The On-Page SEO Grader fetches the public URL you enter from our server and grades the page in your browser; no AI provider is used. Guest SEO reports, including the text you submit, are stored for up to 48 hours so you can save the report to an account after signup, then deleted.
- No required personal data: You can run initial reports without signing up or providing personal information.
- Usage limits: Without an account, you can get 1 free SEO grade per day. The On-Page SEO Grader and Text Analysis can be used without an account. Creating an account starts a 7-day trial with 10 analyses; Pro and Growth have monthly limits of 75 and 200 analyses. To rate-limit the free tools and the guest SEO grade, we store a one-way hash of your IP address, never the address itself, for up to 48 hours.
3. Registered & Paid Accounts
If you create an account, we store limited information so you can keep working across sessions and track progress:
- Email address, display name, and authentication provider.
- Usage history (for example, number of analyses) to manage plan limits.
- Analysis history (inputs and results) so you can review, compare, or export past work from your dashboard.
- Subscription and billing status. Payment details are not stored by WordCount AI. They are processed securely by Stripe.
4. Automatically Collected Data
We use analytics tools to collect non‑personal usage data to understand how the product is used and where to improve it. This may include:
- Pages visited, tools used, and general usage patterns.
- Device type, browser type, and operating system.
- Approximate location (city/country) for analytics purposes.
5. Cookies, Browser Storage & Tracking
WordCount AI uses cookies and browser storage for essential site functions and analytics:
- Google Analytics cookies, to measure page views and tool usage.
- Sign-in: Firebase Authentication keeps you signed in using your browser’s storage. When you are signed in, a session cookie that expires after one hour holds your sign-in token so protected pages can check who you are.
- Local storage (kept on your device until you clear it): a random guest session ID and a count of guest runs, a marker that lets you save a guest SEO report to an account after signup (no text, keyword, or result), your monthly or annual choice on the pricing page, and copies of title and fix suggestions you have generated, so they load again quickly.
- Session storage (cleared when you close the tab): the draft you are working on (its text, keyword, and URL) so it follows you between tools, a guest report waiting to be saved after signup, a past analysis you opened from your history, a retry key so a repeated submission is not counted twice, and a sign-in redirect flag.
Browser storage stays on your device and is not sent to us on its own. You can clear cookies and site data through your browser settings, but doing so may sign you out or reset these preferences.
6. How We Use Information
- To operate and improve the tools and overall experience.
- To provide account‑specific features like saved history and exports.
- To enforce usage limits, prevent abuse, and keep the service reliable.
- To process payments and manage subscriptions for paid plans.
- To communicate important product or account updates.
7. Third‑Party Services
We use these service providers to run WordCount AI:
- Google Firebase and Google Cloud: host the app and store account data (email address, display name, sign-in provider, profile picture), saved analyses, guest SEO reports for up to 48 hours, and hashed IP addresses used for rate limits.
- Stripe: processes payments and subscriptions, including your billing email and card details. WordCount AI does not store your credit card details. See Stripe’s Privacy Policy.
- IONOS: sends our account and lifecycle emails, so it handles your email address, your name, and the content of those emails.
- Google (Gmail): delivers messages sent through the in-app feedback widget to our inbox, with the details listed in section 8.
- Google Analytics: receives usage data (pages visited, device and browser type, approximate location) through cookies, for aggregated reporting.
- Google AI (Gemini): receives the text and optional target keyword you submit to the SEO Content Grader, and the stored text of an analysis when you generate fix suggestions or title options, to produce the results. The On-Page SEO Grader and Text Analysis do not use an AI provider.
8. Contact & Feedback
- Contact page: there is no web form. The page lists our email addresses. If you email us, we receive your email address and whatever you write.
- Feedback widget: available to signed-in users. It sends us the topic you pick, your message, your account email, your user ID, your plan type, and the time you sent it. It arrives as an email in our inbox and is not saved in our database.
9. Emails We Send
If you create an account, we send emails about your account and trial: a welcome email, an email after your first SEO grade, a reminder if you have not run an analysis in your first week, notices when your trial analyses run out, before your trial ends, and after it ends, a welcome email when you subscribe, and occasionally a personal note from the founder if you have not used your account.
Each of these emails has an unsubscribe link at the bottom. One click stops all of them, and you can turn them off or back on under Settings in your dashboard. You can also email privacy@wordcountai.com from your account address. Unsubscribing does not stop emails you need to use the service, such as password resets and payment receipts. Deleting your account stops all of them.
10. Data Security
We use industry‑standard measures to protect stored account data. Text you analyze with Text Analysis and pages checked with the On-Page SEO Grader are not stored. Guest SEO reports, including the submitted text, are stored for up to 48 hours for the post-signup claim, then deleted. For registered users, analysis history is kept in your account and can be deleted on request.
11. Data Retention & Deletion
We retain account data for as long as needed to provide the service or as required by law. Registered users may request deletion of their account and associated data at any time by emailing privacy@wordcountai.com or through our contact page.
12. Privacy of Children
WordCount AI is not intended for children under 13. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us so it can be removed.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised “Last Updated” date. Material changes may also be highlighted in‑app or by email where appropriate.
